Job Purpose

Reporting to the Chief Executive Officer, the position is responsible for coordinating and initiating purchase orders and procurement of goods and services for the Centre and conducting research to determine procurement of goods and services at competitive prices.

Job Responsibilities

Key Outputs & Responsibilities:

  1. Prepares annual procurement plans for Micro Finance Zambia Limited.
  2. Monitors procurement progress on all planned activities.
  3. Tracks vendors and suppliers to ensure timely delivery of goods and services.
  4. Maintains and updates suppliers’ register.
  5. Review purchase requisitions for completeness and accuracy and follow up on discrepancies with the initiating department.
  6. Collect quotations and prepare a comparative analysis.
  7. Processes purchase requisitions and prepares Purchase Orders.
  8. Receiving bid responses according to guidelines and review them.
  9. Maintains procurement files and records.
  10. Assessing the supply market for products and services with respect to price and quality.
  11. Ensuring payment/prepayments (if terms require so) are done to suppliers.
  12. Contract management of various agreements. This includes all branch lease agreements, security services, cleaning services, and all other relevant administrative related contracts.
  13. Spearheading the relocation of company branches from town to town when the need arises, or leading the opening of a new branch when there is growth.
  14. Office management and maintenance including repair and replacement of office assets, building fixtures, security controls, office stationery and consumables.
  15. Spearheading all company procurement to ensure compliance in the procurement process according to company policy. This includes managing the procurement process for vehicles, office equipment, office maintenance, branded materials and stationery.
  16. Performs any other duties as assigned by the Supervisor.

Requirements:

Requirements:

• Grade 12 School Certificate.

• Degree/Diploma in Administration, Business, Finance, Procurement or any other relevant field.

• At least 2 years’ experience in a similar role.

• Conversant with Zambian Procurement Laws

• Proficiency in the MS Office Suite (Word, Excel, PowerPoint).

• High level of integrity.

• Good command of English both oral and written.

• Dependable with a respect to confidentiality and policies.

• Excellent organizational skills.

• Multitasking and time-management skills, with the ability to prioritize tasks.

• Good customer service attitude.

• Great attention to detail.

• Must be a fully paid-up Zambia Institute of Purchasing and Supply (ZIPS) member with a 2024 Practicing License.
