Job Purpose

The Branch Operations Manager is responsible for overseeing the smooth functioning of the day to day operations of the branches. The role involves a wide range of responsibilities that are essential for maintaining operational efficiency, Quality assurance of loans, improving service delivery of all MFZ products and driving the branches towards achieving its business goals.

Marketing responsibilities:

  • Develops and implements a branch marketing strategy, to acquire new clients, and manage penetration levels in existing companies and operational zones.
  • Maintains excellent customer relations, identifying their needs and recommending product improvement ensuring a high retention rate.
  • Increases the organizations profitability by maintaining a high-quality portfolio and ensure that all loans are recovered.

Strategic Planning:

  • Develops the branch overall strategic plan in line with the MFZ strategy.
  • Provides analytical data to the Operations Manager relative to financial activities based on strategic and operational plans.
  • Implements initiatives to achieve growth targets, improve operational efficiency, and enhance customer satisfaction.
  • Prepares annual work plans, reviewed quarterly, with the Operations Manager.

Team Management:

  • Plans and ensures that the branch office is adequately staffed to meet the branch objectives.
  • Conducts performance appraisal in line with MFZ’s performance management process,
  • Identifies branch staff training needs, and ensure high level of motivation and teamwork.
  • Manages leave and off days of all branch staff, ensuring there are no disruptions to the business.

Compliance to Policies and Procedures:

  • Ensures branch staff adherence to policies and procedures is upheld at all times.
  • Identifies possible loopholes and weaknesses in the policies and procedures and recommend reviews.
  • Inducts all new staff in the company’s policies and procedures and refreshing existing staff of the same.
  • Enforces risk controls systems to minimize losses and frauds in the branches.

Branch Financial Supervision and Controls:

  • Monitors and evaluates the financial performance of the branch on a monthly, quarterly semi-annually and annual basis.
  • Ensures compliance with budgetary requirements of the branch in line with the operating plan.
  • Maintains effective controls over all disbursements, receipts, refunds and terminations at the branch.
  • Manage the branch liquidity position in liaison with the treasury accountant.
  • Attend to internal audit queries.

General Administration:

  • Manages branch assets in line with company policies.
  • Ensures the branch security is at its best at all times.
  • Manages all communication with head office through the company’s specified reporting system.

Requirements:

Qualifications & Experience: 

  • Full Grade 12 Certificate
  • Bachelor's degree in Finance, Accounting, Business Administration, or a related field
  • Minimum of 6 years of progressively responsible experience in a financial institution at a supervisory level.
  • Financial Literacy: Skill in interpreting financial data, assessing creditworthiness, and making informed lending decisions.
  • Data Analysis: Proficiency in analyzing data, identifying trends, and deriving insights to inform decision-making and improve branch performance.
  • Communication: Effective verbal and written communication skills to interact with clients, team members, and stakeholders clearly and professionally.
  • Microsoft Office Suite: Competence in using software tools such as Excel, Word, and PowerPoint for reporting, documentation, and analysis.
  • Problem-Solving: Skill in addressing challenges, finding solutions, and making effective decisions in a dynamic microfinance environment.
  • Negotiation: Skill in negotiating terms and agreements with clients while ensuring a fair and mutually beneficial outcome.
